Business process outsourcing (BPO) simply means handing a repeatable part of your business to a specialist team outside your company. You keep control of the result; they do the day-to-day work.

It isn't just for large corporations. Growing businesses use BPO to get more done without hiring, training and managing extra staff for every routine task.

What can you outsource?

Almost any process that is repeatable and can be written down. The most common areas are:

  • Customer contact: answering calls, live chat, email support and bookings.
  • Back office: data entry, CRM updates, document processing and admin.
  • Orders and fulfilment: order processing, tracking updates and returns.
  • Finance support: invoice processing, payment chasing and reconciliations.
  • Sales support: lead qualification, appointment setting and follow-up calls.

Work that relies on deep, specialist judgement, such as strategy, complex negotiation or regulated advice, usually stays in-house.

Why businesses choose BPO

BenefitWhat it means in practice
Lower costPay for the work done, without recruitment, training, equipment or office costs
FlexibilityScale up for busy seasons and down again without redundancies
Longer hoursEvening, weekend or 24/7 cover without a night shift
FocusYour skilled team spends time on customers and growth, not routine admin
ConsistencyDocumented processes and quality checks reduce errors

The risks, and how to manage them

  • Quality: agree clear service levels (response times, accuracy targets) and review them monthly.
  • Data protection: sign a data processing agreement and give role-based access only to the systems needed, in line with UK GDPR.
  • Knowledge: document each process step by step before handing it over. A good partner will help you do this.
  • Control: have the team work inside your own tools (CRM, helpdesk, shared inbox) so you keep full visibility.

How to get started

  1. List your repetitive tasks and roughly how many hours they take each week.
  2. Pick one process to start with, ideally high-volume and low-risk.
  3. Document it with inputs, steps, outputs and what "done" looks like.
  4. Run a supervised pilot for two to four weeks and review the work daily at first.
  5. Expand gradually once quality is proven.

Is BPO right for you?

If your team regularly says "we don't have time for this", if tasks pile up during busy periods or if you're paying skilled people to do routine admin, outsourcing is worth exploring. For customer-facing work, see our guide on outsourcing customer support.
