Custom CRM vs HubSpot: Which Is Right for Your Business?

Off-the-shelf CRMs are quick to start with, but licence costs and workarounds add up. Here's an honest comparison to help you decide between a platform CRM and a bespoke build.

Every growing business eventually outgrows spreadsheets and shared inboxes. The next question is whether to adopt a platform CRM such as HubSpot, Salesforce or Zoho, or to build something bespoke. We build both, so here's an honest look at the trade-offs.

When a platform CRM is the right choice

  • Your sales process is fairly standard: leads, deals, stages, tasks and emails.
  • You need to start quickly. A platform can be configured in days or weeks.
  • You want built-in marketing tools such as email campaigns and landing pages.
  • Your team is small, so per-user licences stay affordable.

For many businesses, a well-configured HubSpot or Zoho is the right answer, provided it's set up around your process rather than the default settings.

When a custom CRM makes more sense

  • Your workflow is unusual, for example job scheduling, dispatch, compliance steps or complex quoting.
  • You have many users, so licence fees become a significant monthly cost.
  • You rely on workarounds: extra spreadsheets, manual exports and paid add-ons to fill gaps.
  • You need deep integration with telephony, your website, accounting or operational systems.
  • You want to own your data and roadmap rather than depend on a vendor's pricing changes.

Comparing the real costs

Platform CRMs look cheaper at the start, but costs grow with users, contacts and feature tiers. A custom CRM costs more upfront, but has no per-seat licence fees and can be shaped exactly to your process. Over three to five years, the total cost of ownership is often closer than people expect, so it's worth modelling both.

Questions to ask before deciding

  1. What does our process look like today, step by step?
  2. Where do leads, jobs or customers currently get stuck?
  3. How many people will use the system in two years' time?
  4. Which systems must it integrate with?
  5. What reporting do managers actually need?
The best CRM is the one your team actually uses. Fit to your process matters more than the length of the feature list.

A hybrid option

It isn't always either-or. Many businesses keep a platform CRM for sales and marketing, and build custom tools or API integrations around it for operations such as dispatch, onboarding or reporting.
